B. In-Office Substantiation and Booking Confirmation

When you attend your consultation at our office to finalize a flight itinerary, or when you request a cancellation, we require additional substantial documents to comply with aviation security protocols and operational frameworks:

  • Passport details and official identification documents for all traveling passengers
  • Flight routing parameters and specific travel itinerary configurations
  • Accepted bank account details (provided exclusively via email in the event that a 50% or complete refund is accepted via bank transfer)

2. How We Use Your Information

Flyzentiq processes your data strictly for legitimate operational and compliance purposes, including:

  • Managing and organizing your scheduled in-office consultation.
  • Constructing customized itineraries, scheduling logistics, and organizing service tiers based on your specific requests.
  • Complying with Civil Aviation Authority of Singapore (CAAS) flight manifests, customs declarations, and international airspace regulations.
  • Processing fiscal returns via bank transfer using data provided through our formal communication channel ( fly@flyzentiq.com).

3. Data Disclosure to Third Parties

We do not sell, rent, or trade your personal information. To execute your customized journey, your data will be shared with necessary third parties under strict confidentiality, including:

  • Ground handling agents and fixed-base operators (FBOs) at relevant airports.
  • Air traffic control, immigration, and border clearance authorities in Singapore and destination countries.
  • Internal banking partners to process accepted refund transfers.

4. Security Measures and Data Protection

We employ appropriate physical, administrative, and procedural measures to protect your information against unwanted access, alteration, or disclosure. Physical records kept at our Union Building office are maintained in secure filing areas with restricted access. Digital data, including bank account details received for cancellation processing, is stored on closed networks accessible only to essential personnel.

5. Retention of Data

Flyzentiq retains your information only as long as necessary to fulfill the operational purposes outlined in this policy or to satisfy legal, regulatory, and auditing frameworks. Once the data is no longer required for business or legal reasons, it is securely destroyed or anonymized.
